The Brief
This project wanted to gain maximum exposure for an ambitious demonstration event to be run at the end of its three-year programme of development. Organisers wanted to demonstrate the sophisticated software in working scenarios on the Metro in Paris. As well as attracting the right people to attend the event, the organisers wanted exciting material for journalists and delegates to take away with them as well as to be looked after on the day.
The Solution
Insight’s solution to this was to devise a structured PR and communications plan for the project, devised to attract a manageable number of journalists from appropriate European media, including newspapers and television, to the event as well as provide them with information about the project that was easily digestible and delivered in an attractive format. As well as a folder full of press material about each of the user scenarios and background material about the project’s work, this also included a novel, branded “credit card” USB memory stick containing material like pictures, copy and links, readily available for the press to use with a minimum of fuss.
Finally, Insight looked after the journalists and delegates, booking accommodation and travel, making sure all arrived to the venue safely and ensuring they all had what they needed to make sure they would be free to concentrate on the project’s work and see it in the best possible light. Insight sent two members of staff to ensure the smooth-running of the event.

What the Client thought
Considering a number of factors, Insight came out the strongest in the comparative analysis of different tenders for the final dissemination of the MUSIC project. The experience was positive, thanks to the project leader at Insight and the work of his colleagues. The team mastered the topic really fast and were efficient and discreet in gathering information and relevant press contacts. Our views and comments were efficiently taken on board in the final meeting and we are delighted with the final result.
